Gmail, Gemini and Google Workspace smart features

Method: Review of Google's public documentation. No signed-in business account was inspected and no controls were tested in a live account.
Summary
Gmail combines familiar smart features with newer Gemini assistance. Access and data-use protections differ between managed Workspace, personal accounts and the separate Gemini app.
- By default: Smart-feature defaults are documented as off in the EEA, UK, Switzerland and Japan. That does not establish the present settings of an existing account. A universal Gemini default is not established.
- Beyond the default: Suggested text, quick replies, sorting, information cards, summaries, drafting, email questions, AI search summaries and calendar assistance.
- Outside Gmail: Enabled features can use accessible documents, calendars and chats. The separate Gemini app can connect to Workspace. Calendar assistance can create, reschedule and delete events.
- Business exposure and learning: Restricting active searching of a source does not prevent every use of specifically referenced or open content. Qualifying in-app Gemini and commercial Workspace have published training protections, but separate Gemini routes, experiments and smart-feature improvement have different terms.
The main exposure: Email information can become context for work across other services, and assistance can extend into calendar changes. The data protections depend on the precise route used.
Business finding
A business can disable optional Gemini and smart features and restrict some information access. There is no single documented switch establishing that every form of AI processing in Gmail has stopped. Feature access, cross-app information access and use for model development require separate attention. Personal Google accounts and managed Workspace accounts also have different controls and terms.
Where is AI operating?
Gemini operates inside Gmail through summaries, drafting assistance and answers about email. Available features also include AI search summaries and help with calendars. Google's current Gmail guidance describes creating, rescheduling and deleting calendar events so the scope extends beyond suggesting wording. Availability depends on account, plan, language and rollout. [1][2][3]
Older smart features include suggested text, quick replies, category sorting and cards extracting details from messages. They can appear to be ordinary email functions rather than a separate AI product. These features can save reading and writing time but a business should identify which ones process its correspondence. [4]
The separate Gemini app can also connect to Workspace. Its access should be assessed separately from Gemini displayed inside Gmail. [5]
Who controls it?
Individual account holders control smart-feature preferences. Managed Workspace accounts also have administrator controls but their scope depends on the edition. Google's app-by-app Gemini feature-access control currently lists Enterprise Standard and Enterprise Plus among supported business editions. It should not be assumed available to every small-business subscription. [6]
Workspace Intelligence source controls cover a broader list, including Business Starter, Standard and Plus. They govern which services are actively searched for context. These are different from controls that enable the Gemini interface. [7]
The business should record its actual subscription and the administrator responsible for these settings. A business using personal Gmail accounts cannot assume it has the controls of a managed Workspace organisation.
What can the business switch off?
Individual account controls
On the Gmail website, open Settings → See all settings → General.
- Under Smart features, clear Turn on smart features in Gmail, Chat, and Meet to disable that group.
- Under Google Workspace smart features, choose Manage Workspace smart feature settings. Turn off Smart features in Google Workspace to disable the corresponding cross-Workspace experiences, including Gemini features.
- Review Smart features in other Google products separately, then save the changes. [4]
These settings are independent. Disabling one does not automatically disable the others. Google says smart-feature defaults are off in the EEA, UK, Switzerland and Japan; this is not evidence of an existing account's present settings.[4]
Administrator controls
Where supported, use Admin console → Generative AI → Gemini for Workspace → Feature access, select the service, set it to Off and save. Turning off the separate Gemini app does not itself disable Gemini features inside Workspace apps. [6]
What information and actions can the business restrict?
Gemini can work with email and, where enabled, context from accessible documents, calendars and chats. Existing content permissions remain important: information shared too widely may also become available for AI assistance. [7][8]
Administrators can configure Workspace Intelligence sources under Generative AI → Gemini for Workspace → Workspace Intelligence. Source changes may take up to 48 hours. [7]
This is a restriction on active searching, not a complete ban on processing that source. Google says specifically referenced or currently open content can still be used. Separate Gemini services have their own controls. [7]
For the separate Gemini app, review its Workspace connection and the administrator's permission for that connection. [5]
For actions, include calendar creation, changes and deletion in the assessment. A comprehensive Gmail-specific switch separating all read access from all action permissions was not established from the documentation reviewed. Approval requirements need checking for each enabled feature. [2]
Can the business refuse use of its information for training?
Google says Gemini within Gmail and other Workspace apps does not use qualifying personal-plan content to train generative models. Its commercial Workspace Privacy Hub says customer data is not used for training without prior permission or instruction. [9][8]
That does not mean information is never processed or used for feature improvement. Google separately describes improvement of smart features, including anonymised or aggregated interactions. Disabling the relevant smart setting stops future processing for improving that feature; learning already derived may persist. [4][9]
Personal-account users who share Workspace information with the separate Gemini app, Search personalisation or screen actions can bring it under different terms, potentially including model improvement. Workspace Experiments also has separate terms. [9]
The practical task is therefore to identify the service and terms covering each route, not look for one universal Gmail training opt-out.
How can the business check that its choices worked?
The following are proposed business checks, rather than claims of testing completed for this report:
- Record the account type, subscription, settings, administrator and change date.
- Reopen settings to confirm the saved state and check relevant employee accounts, groups and departments.
- After applicable change delays, check whether disabled summaries, drafting tools and side panels remain available.
- Use harmless test messages to check whether other enabled Gemini routes can still retrieve information from Gmail. Test active searching separately from explicit references to a message.
- Review the separate Gemini app's connection and any other authorised apps.
- Where available, inspect Workspace Gemini audit records. Google documents audit logging for qualifying business services, but audit availability and detail should be checked for the account concerned. [8]
An absent button demonstrates an interface change. It does not independently prove that every form of background processing has stopped. This review found no public account-holder test that proves the complete absence of AI processing by the provider.
What does the business lose, retain or need to replace?
Turning off local smart features removes functions such as suggested replies, suggested text, category sorting and summary cards. Turning off cross-Workspace smart features removes related Gemini assistance, personalised search experiences and automatic email-derived calendar features. These are different trade-offs. [4]
Restricting information sources can reduce contextual assistance. Disabling Gmail as a source may remove AI search overviews or AI Inbox; disabling Calendar may restrict scheduling assistance. [7]
Businesses can replace summaries and drafts with manual reading and writing, and create calendar entries directly. These are proposed working alternatives not evidence that Gmail becomes AI-free. Essential-service processing, including spam and security functions is outside any complete opt-out established by this report.
